This policy explains how Trihill LLC collects, uses, stores, and shares information across our websites, mobile applications, and online services, including Gated and other products that link to this policy.
Information we collect
The information we collect depends on the product you use, the features enabled by your community or organization, and the choices you make.
Account and profile information
We may collect your name, email address, password in protected form, account status, roles, community memberships, invitations, and authentication or session information. We use this information to create and secure accounts, confirm identity, and control access to the appropriate communities and features.
Community, resident, and unit information
Gated may process community names and locations, membership roles, unit or property identifiers, addresses, occupancy relationships, community notices, forum posts, comments, maintenance requests, forms, administrative records, and other information entered by users or authorized community administrators.
Billing and payment information
We may process subscription details, billing contacts, assessment balances, invoices, payment status, transaction references, refunds, account credits, and related financial records. Payments may be handled by Stripe, including connected community accounts, or Paddle. Payment providers collect and process payment details under their own privacy policies. Trihill does not store complete payment card numbers.
Files and content
We collect files and content you choose to upload or submit, including documents, images, maintenance attachments, discussion attachments, and payment or bank-transfer evidence. Files may contain personal information selected by the person uploading them.
Push notifications
If you enable push notifications, we collect a device or installation identifier, push token, device platform, notification delivery information, and related preferences. We use this information to send notices and product communications through our push notification delivery providers. You can turn push notifications off in your device settings.
Device, usage, and technical information
We and our service providers may automatically process IP address, browser or device type, operating system, app version, requested pages or service actions, timestamps, security events, diagnostic logs, and crash or error information. This information helps us deliver, secure, troubleshoot, and improve our services.
Communications
We collect information you send through support requests, contact forms, email, and other communications so we can respond, provide service, and maintain appropriate business records.
How we use information
We use information to:
- Provide, operate, maintain, and secure our products.
- Authenticate users and manage roles and permissions.
- Support community operations and resident communication.
- Process subscriptions, assessments, invoices, and payments.
- Store and deliver files and user-submitted content.
- Send transactional email and requested push notifications.
- Respond to questions, support requests, and disputes.
- Monitor performance, diagnose errors, and improve features.
- Prevent fraud, misuse, and security incidents.
- Comply with legal, accounting, and regulatory obligations.
Trihill does not sell personal information.
How information is shared
Information may be visible to or managed by the community or organization through which you use Gated. Access depends on roles, permissions, and the context in which information was submitted. For example, authorized administrators or billing personnel may access member, unit, invoice, payment, or uploaded evidence records.
We also share information with service providers as needed to operate our services. These may include cloud hosting and data storage providers, file-storage providers, Stripe and Paddle for payments, push notification delivery providers, email providers, and error-monitoring providers. These providers process information on our behalf or under their own applicable terms.
We may disclose information when required by law, to protect rights and safety, in connection with a business reorganization, or with your direction or consent.
Cookies and local storage
Our websites and applications may use cookies, secure sessions, or device storage required for authentication, preferences, security, and core functionality. We do not use this website for cross-site behavioral advertising. If our analytics practices materially change, we will update this policy and provide choices where required.
Retention
We retain information for as long as needed to provide the service, maintain account and community records, resolve disputes, enforce agreements, and meet legal, tax, accounting, and security obligations. Retention varies by record type. Billing and payment records may be kept for legally required periods; uploaded files and community records may remain while an account or community is active or as directed by its authorized administrators. We delete or anonymize information when it is no longer reasonably needed, subject to backups and legal requirements.
Security and international processing
We use administrative, technical, and organizational safeguards designed to protect information. No method of storage or transmission is completely secure. Our providers may process information in countries other than your own, subject to applicable legal safeguards.
Your choices and rights
You can update certain account information within the service and disable push notifications through your device settings. Depending on where you live, you may have rights to request access, correction, deletion, or portability of personal information, or to object to or restrict certain processing.
Some Gated information is controlled by your community or organization. We may direct a request to the relevant administrator when they are responsible for that information. We may also need to verify your identity before completing a request. To make a privacy request, contact us using the address below.
Children
Trihill services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information without appropriate authorization, contact us so we can investigate and take appropriate action.
Changes to this policy
We may update this policy as our products and practices develop. We will publish the revised policy here and change the effective date above. Where required, we will provide additional notice through the relevant service.
